Cancellation Policy

By completing a reservation, you acknowledge and agree to these terms.


1. Rescheduling

Subject to availability, we may allow one (1) rescheduling request if notice is provided prior to the applicable cancellation deadline. Rescheduling is not guaranteed and is at the sole discretion of Discover HAGI Tours.

Failure to attend a scheduled tour or stay without prior notice (“No-Show”) will be treated as a cancellation and is non-refundable.


2. Tour Cancellation Fees

Cancellation fees are calculated based on the scheduled start time of the tour. Date of cancellation refers to the date and time when cancellation notice is received by us based on Japan time. Requests for changes and cancellations will be accepted only during the business hours.(9:00-16:00)

Please note that while this policy serves as a general guideline, cancellation terms may vary depending on the specific tour.


3. Weather & Force Majeure

Tours operate rain or shine.

  • Guest-initiated cancellations due to rain or unfavorable weather conditions on the day of the tour are non-refundable.
  • Discover HAGI reserves the sole right to cancel, modify, delay, or substitute a tour due to weather, safety concerns, natural disasters, government advisories, or any event beyond our reasonable control (“Force Majeure”).

If we cancel a tour prior to its commencement due to safety or Force Majeure, guests will receive a full refund of the amount paid for the tour.

No refunds will be issued if a tour is shortened, modified, or terminated after it has commenced due to safety concerns or sudden weather changes.

We will notify guests of pre-tour cancellations via email no later than 7:00 PM on the day prior to the tour. Guests are responsible for checking their email communications.


4. Right to Refuse Service

Discover HAGI reserves the right to refuse participation or remove any guest from a tour without refund if the guest:

  • Fails to meet physical participation requirements
  • Appears impaired by alcohol or drugs
  • Engages in unsafe, disruptive, or unlawful behavior
  • Poses a risk to themselves, other participants, or staff

5. Limitation of Liability

To the fullest extent permitted by applicable law:

  • Discover HAGI shall not be liable for indirect, incidental, consequential, or special damages arising from participation in our tours.
  • Our total liability shall not exceed the amount paid by the guest for the applicable service.

All participants are required to sign a liability waiver prior to participation.


6. Refund Processing

Refunds, if applicable, will be issued to the original payment method.
Processing times may vary depending on the financial institution and billing cycle. Refunds may not appear on the same monthly credit card statement.


7. Modifications

Discover HAGI reserves the right to amend these terms at any time without prior notice. The terms in effect at the time of booking shall apply.
